Comments and contact forms

To help with spam detection, we collect the data submitted in any comments or contact forms, plus your IP address when you leave a comment on the site or send us a message. 

In particular, when sending comments, an anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, we will publish the profile picture from the Gravatar service in the context of your comment.

We process submissions through the Contact Form as if they were emails. We retain emails sent to us for up to six years, dependent upon their criticality to our business. 

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Website visitors can download and extract any location data from images on the website. We accept no liability for any metadata you leave in your uploaded pictures.

Cookies

If you leave a comment on our site, you may opt-in to saving your name, email address and website URL in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our sign-in page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data; your browser automatically discards it when you close your browser.

We use several cookies to save your sign-in information and screen display choices when you log in. Login cookies last for two days, and screen options cookies last for a year. We will retain any comments, and related metadata, for an indefinite period. This policy is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

If you register on our website, we also store the personal information you provide in your user profile. You can see, edit, or delete your personal information when you choose (except you cannot change your username). Website administrators can also see and edit this information.

We may retain your personal information for up to six years when you provide that data in the operation of our business, for example, applying for membership or booking a hire.

What rights you have under our privacy policy

If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any information you have provided to us. You can also request that we erase any personal data we hold about you. However, it does not include any data we are obliged to keep for administrative, legal, or security purposes and does not include any data related to any comments you left.

Where we send your data

We may check comments you leave on our website through an automated spam detection service and may process them appropriately. 

A spam detection service automatically tests all emails sent to our email servers and scores them appropriately. Emails that do not achieve an appropriate score are processed accordingly.
